Compare the complete check-in path
| Stage | What to test | Failure-safe |
|---|---|---|
| Identify | Rotating QR, optional live face match or PIN | Keep PIN available |
| Validate | Active pass, date, credits, location and duplicate rules | Show a clear reason and next action |
| Record | Owner view, member balance and instructor roster agree | Expose pending sync state |
| Recover | Cancellation and correction retain an audit trail | Restrict changes by role |
Why multiple check-in options matter
Dynamic QR is convenient for members with the app. Consent-based face matching with a liveness action can make an equipped entrance faster. PIN keeps the studio moving when a phone, camera, lighting condition or permission fails.
Connect member, instructor and owner workflows
See schedule, bookings, remaining credits, expiry and notices.
See their own classes and rosters without sharing the owner's credentials.
Manage memberships, attendance, bookings, staff roles and multiple locations.
Stay lightweight on practical tablet hardware and report pending sync clearly.
Door access is a compatibility project
A valid PassFlow check-in can be connected to an access-control system when the vendor exposes a supported API, webhook, local gateway or relay input. The exact scope depends on the controller model, official documentation, local network, firewall and manual emergency-opening procedure.
PassFlow does not claim that every consumer door lock connects automatically. Compatibility is reviewed before schedule and cost are quoted.
Frequently asked questions
Do we need dedicated kiosk hardware?
Not necessarily. A supported existing tablet may work, but power, browser, camera permissions, screen pinning and network recovery must be tested on site.
Does PassFlow replace an access-control controller?
No. It can provide a validated attendance event to a compatible controller or gateway; the physical access system remains responsible for safe door operation.
Can a studio test before subscribing?
Use the public role-based demos, then reproduce one real class from booking through check-in, correction and owner review.
